About Project Angel Heart:

Our vision is for all Coloradans living with severe illness to have access to nutritious food that supports their health and well-being. To that end, we compassionately deliver comfort and support through high-quality nutrition services, including medically tailored meals, while also advocating for the principles of “Food is Medicine.” This year, we will prepare and deliver more than 800,000 meals to more than 5,000 people living with cancer, heart failure, HIV/AIDS, and other illnesses.

Position Summary :Serves as a coordinator for Project Angel Heart’s volunteer program, including recruitment, scheduling, training, and recognition of agency volunteers, including but not limited to kitchen, packing, delivery, office, groups and community service workers. Assists with data entry and analysis and provides overall volunteer program support.

Amount of Time & Status : 40 hours, on-site, non-exempt position with occasional evenings and weekends

Reports to: Volunteer Resources Manager

Compensation: Starting pay is $24-$25/hour

Essential Responsibilities :

  • Oversees schedules and communication for a variety of volunteer positions including office assistants, distribution assistants, meal delivery drivers, kitchen assistants, and special events volunteers.
  • Provides training and supplemental tutorials for new kitchen assistants, meal delivery drivers, office assistants, distribution volunteers, and other roles as needed.
  • Serves as the main contact for a variety of corporate and social volunteer groups; includes communication, scheduling, training, and on-site coordination.
  • Organizes and oversees agency-wide bag decoration program and engagement station, including volunteer training, reporting/documenting hours, and movement of bags to and from distribution.
  • Collaborates with the Executive Chef/kitchen staff, distribution, volunteer resources, and administrative departments to ensure adequate volunteer support.
  • Facilitates multiple monthly new volunteer orientations as needed and ensures all orientation materials are updated.
  • Serves as an agency representative at various outreach, volunteer recruitment, and community fairs.
  • Completes data entry and audit of volunteer timesheets monthly, maintains and enters accurate volunteer constituent records in the agency database with actions, notes, all communications, job assignments, etc.
  • Communicates with prospective volunteers about opportunities to help them find the best fit.
  • Communicates with volunteers, corporate groups, and other community partners to ensure they are effectively and meaningfully engaged and appropriately recognized.
  • Takes initiative to self-start projects to advance departmental capacity and organizational excellence.
  • Monitors and updates online postings of current volunteer position descriptions, orientations, and other volunteer-related events.
  • Works with other departments to schedule, train, and support Special Events and the Community Outreach Team.
  • Organizes the court-ordered community service intake and reporting process; schedules court-ordered volunteers.
  • Other volunteer resources duties as assigned.

Preferred Qualifications :

  • Passion for volunteerism, community engagement, and Project Angel Heart’s mission
  • Experience in coordinating and managing volunteers highly preferred
  • High proficiency with Microsoft Office Suite, Google Docs, and CRM systems (e.g., Blackbaud’s Raiser’s Edge, CERVIS)
  • Strong organizational and communication skills with the ability to prioritize and manage multiple tasks simultaneously
  • Excellent customer service, telephone, and interpersonal skills
  • Ability to maintain confidentiality and work with diverse populations
  • High level of self-motivation, reliability, and dependability
  • Fluent Spanish is a plus
  • Valid Colorado Driver’s License, own transportation, and a reliable personal vehicle to serve as back up for meal deliveries when needed
  • Talent for creating and implementing systems and processes for maximum efficiency and effectiveness
  • Detail orientation and accuracy with both numbers and written documentation
  • Strong aptitude to work as a team member

Working Environment/Physical Activities:

Work environment is primarily an office setting. Physical activities include: sitting at a desk and working on a keyboard and computer; conducting business in-person, over the telephone and via email; and using copy and postage meter machines; moving agency materials up to 45 pounds. Position may require driving a vehicle on occasion and moving items in and out of a vehicle.
