Position Title: Business Administrator

Reporting Relationship: Reports to Clinical Director

FLSA Status: Non-Exempt

Position Purpose: The Business Administrator is responsible for overseeing and supervising the company's day-to-day operations, activities, and employees, under the direction of the Clinical Director. The Business Administrator assumes responsibility for a variety of administrative and supervisory duties, as described below.

Education/Experience: Bachelor's degree in business administration or a similar subject, (preference given to applicants who have a Master's degree in business administration) or other qualified experiences. 2+ years' relevant experience. Must demonstrate proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook.) Experience interacting with children, children with disabilities, and families preferred.

License/Certification: None required.

Wage Range: $24-$30/hour

Position Responsibilities:

  • Represent the mission and values of The Hangout Spot by establishing and maintaining positive relationships with existing and prospective clients, the community, fellow team members and other stakeholders to help drive a consistently positive client experience.
  • Respond to initial contact from New Inquiries within stated guidelines, consistently document the client's status in the new inquiry journey, and effectively complete introductory phone calls and procedures related to the intake process
  • Drive productivity by keeping our facility operating smoothly and cost effectively by maintaining appropriate inventory of office supplies, tools, and other materials necessary to complete daily activities.
  • Prepare contracts for signature by our partners, send out the contracts, follow up with partners, and file contracts in an efficient and timely manner.
  • Help us build an exceptional team by assisting the Clinical Director with hiring, onboarding, and training processes for new team members & ensure accurate completion and record keeping for all onboarding and training requirements to ensure compliance.
  • Drive operational excellence through direct support for the Clinical Director in managing essential business operations including budget tracking, team member scheduling, HR recordkeeping, payroll processing and light accounting.
  • Create a consistent client experience by streamlining the intake process for new clients and ensuring accurate documentation, client invoicing, and payment processing consistent with established guidelines.
  • Help ensure safe effective, efficient, and compliant programs and a work, play and learning environment for clients, families, and staff by creating and monitoring health & safety procedures, maintaining cleaning logs and other procedural records, in accordance with applicable company, local, state and federal policies and/or guidelines, including those related to Covid-19.
  • Ensure compliance by preparing reports for clinical team members as requested or required, using company provided software. Assist with the filing of all required reports to regulatory agencies.
  • Help us connect with the community and grow by recommending and leading community outreach projects and supporting marketing initiatives including but not limited to developing social media content consistent with our brand, posting on behalf of the Company on social media, monitoring/responding to posts and inquiries on social media, sending out our weekly newsletter, mailing out brochures, helping us coordinate/execute our weekly Facebook Live Series, and scheduling networking meetings and events.
  • Plan and facilitate Parent Orientation to provide new parents with essential information required to successfully navigate their experience at The Hangout Spot
  • Coordinate building maintenance and upkeep of physical facilities by overseeing and optimizing the efficiency of maintenance processes, managing vendor relationships, and ensuring a safe and comfortable working environment for all occupants
  • Ensure uninterrupted connectivity for the Company by overseeing phone, internet, and other services, promptly identifying disruptions, and coordinating with relevant parties to resolve issues efficiently
  • Perform additional duties or responsibilities as requested or assigned.
