Business Administrator / Office Assistant (Part-Time Independent Contractor) Chesterton Academy of Albuquerque is seeking a detail-oriented, highly organized Business Administrator / Office Assistant to support the school's business and financial operations. This part-time, independent contractor role serves as the primary administrative intake and coordination point for routine business matters, helping leadership stay focused on strategic priorities, compliance, and sound financial oversight. Position Details Expected Hours: 20 hours per week Compensation: $1,600 per month Direct Supervisor: Executive Director Functional Coordination: Executive Director/Financial Director Position Summary The Business Administrator performs administrative intake, execution, tracking, and record maintenance functions in support of business and financial operations. The role serves as the primary business communication buffer between Chesterton staff and leadership, absorbing routine inquiries and intake activity so that Executive Director and Headmaster may remain focused on decision-making, compliance, accounting integrity, and governance. The Business Administrator is assigned to the business side of the school and shall not perform duties related to curriculum, faculty supervision, student academic matters, or academic administration. However, coordinate with Headmaster and Executive Director to assist with decisions and direction. Key Responsibilities Executes administrative intake and tracking Maintains organized records Routes matters requiring authority or judgment upward Maintain and organize electronic records in the Chesterton Google drive to maintain consistency Confirming receipt of payments, checks, cash, or documentation Providing status updates on reimbursements, invoices, deposits, and submissions Confirming that materials have been forwarded to the Executive Director or Finance Communicating established procedures, required documentation, and standard timelines Routing complete requests through appropriate channels Maintain and direct the establishment of lunch program thru the U.S. Department of Agriculture Other duties as assigned Required Qualifications Demonstrated experience in office administration, business operations, bookkeeping support, or a related administrative role Strong organizational skills with the ability to maintain accurate records, track multiple workflows, and follow documented processes Professional written and verbal communication skills Ability to handle confidential information with discretion and professionalism Proficiency with common office software, email, shared digital files, and spreadsheet-based tracking tools Ability to work independently, manage priorities, and escalate issues appropriately Preferred Qualifications Experience supporting school, nonprofit, parish, or mission-driven organizational operations Familiarity with financial intake, reimbursement tracking, and basic reporting processes Experience maintaining shared digital filing systems such as Google Drive Experience coordinating compliance-related administrative tasks or documentation workflows Knowledge of school lunch program coordination or related government program administration Work Schedule and Availability This role is expected to average approximately 20 hours per week. Chesterton Academy of Albuquerque retains discretion over scheduling and work sequence, subject to timely completion of deliverables, responsiveness standards, and business needs. This position is not on call and does not require availability outside scheduled work periods.
